How to Prepare a Size List for Custom Teamwear
Prepare a clear teamwear size list: confirm the garment size chart, record quantities, separate garment types and check names and numbers before approval.

A clear size list helps your team organise a custom cheerleading uniform or teamwear enquiry. You can start with an estimated quantity, then prepare the final breakdown when the garment details and relevant size chart have been confirmed.
Start with the chart for the actual garment
Before assigning sizes, ask which size chart applies to the garment you are discussing. A label such as Youth Large or Adult Small is not enough to compare different garments. Check the units and whether the chart describes body measurements or finished garment measurements.
Follow the measuring instructions supplied with that chart. Keep age and height as supporting information rather than using them alone to choose a size. If a measurement falls between sizes, flag it for discussion instead of making an unexplained change.
Keep different garments on separate lines
Record tops, skirts, shorts, jerseys and warm-ups separately when they use different sizing. If someone needs a different top and bottom size, show both clearly. Do not assume that one size label applies to every item in an outfit.
For each line, include the garment or design reference, the size-chart version or date, the size, the quantity and any question that still needs an answer. Use the same units throughout the list and label them explicitly.
Separate estimates from the final breakdown
For an initial enquiry, give your approximate team quantity and mark it as an estimate. As the project develops, keep a separate, dated version of the confirmed size list. Add up the quantities for each garment and compare them with your intended order total.
If you need spare items, list them explicitly. Keep undecided sizes in a clearly marked section so they are not mistaken for confirmed choices.
Check names, numbers and design versions
If your design includes individual names or numbers, check spelling, capitalisation and the number attached to each item. Distinguish matching colour versions or different cuts with a clear reference, rather than relying only on a team name.
Use a participant code where a name is unnecessary. Share only the information needed to organise the garments; a size list does not need dates of birth or unrelated personal details.
Review one dated version before approval
Check that the garment references, units, sizes, quantities and personalisation details agree. Highlight unresolved questions and keep changes together in one updated list, rather than sending several conflicting versions.
A size list organises your requirements; it does not by itself confirm fit, production approval or a delivery date. Discuss those points alongside the design and quote.
Start your project with what you have
If you are still collecting sizes, send your design ideas, team colours, logo or team name, estimated quantity and preferred delivery date first.
